AI for managers and team leads

Lead your team's use of AI: choose good uses, set safe rules, coach people and make better decisions with AI support.

For: Managers, team leads, directors and business owners who decide how their team works.

  1. Lesson 1

Find the right first uses for your team

Pick uses that save real time without adding risk.

    1. List the tasks your team repeats every week.
    2. Mark the ones that are mostly drafting, summarising or searching: these suit AI best.
    3. Leave out tasks where a mistake would harm a customer or break a rule, until you have checks in place.
    4. Pick two to try for a month and agree how you will measure the time saved.

Try this at work: With your team, list ten recurring tasks, mark the three that suit AI best and agree a one-month trial with a simple measure, such as hours saved per week.

How to check it: The chosen tasks are frequent, low-risk and easy to check.

Watch out: Do not measure success by how much AI is used; measure the work outcome.

  2. Lesson 2

    Set clear, simple rules

Make sure everyone knows what is and is not allowed.

    1. Find out your organisation's AI policy and approved tools.
    2. Write one page for your team: approved tools, data never to paste, when a human must check.
    3. Explain the reasons, not just the rules.

Try this at work: Write a one-page team guide to AI: approved tools, data that must never be pasted, and which outputs need a second check.

How to check it: Each team member can answer: which tool, which data, who checks.

Watch out: Rules that are too strict push people to use unapproved tools in secret.

  3. Lesson 3

Coach people to use AI well

Raise the whole team's skill, not just the keen few.

    1. Ask people to share one prompt that worked each week.
    2. Pair confident users with less confident ones.
    3. Review AI-assisted work for accuracy, not for whether AI was used.

Try this at work: Start a shared prompt library and add the team's three best prompts this week.

How to check it: Less confident team members use at least one shared prompt in their own work.

Watch out: Do not judge people for not using AI; some tasks do not suit it.

  4. Lesson 4

Decide with AI, not by AI

Use AI to test your thinking while keeping the decision yours.

    1. Describe the decision, the options and what matters most.
    2. Ask for the strongest case against your preferred option.
    3. Ask what information would change the decision, then go and get it.

Try this at work: For a decision you face this month, ask the assistant for the strongest argument against your current preference and the facts that would change your mind.

How to check it: Your final decision note states the facts used and the reasoning, in your own words.

Watch out: Never hand people decisions (hiring, pay, discipline) to AI. Those stay with you, under your organisation's rules.
